Digital Heritage Management Plan
The Museum of Australian Democracy needed a new way to manage heritage works in its nationally significant building. We worked with MoAD to digitise and streamline a previously paper-heavy process, making it easier for suppliers and staff to collaborate and comply with strict heritage protocols.
Purpose
MoAD exists to connect Australians with the story of our democracy, preserving both the building and the diverse perspectives that have shaped our political journey. Its programs safeguard heritage while encouraging civic engagement.
Challenge
The core challenge was to translate a highly regulated, paper-based submission process into a secure, online system that respected heritage requirements. This meant designing a digital pathway that worked for both external suppliers and MoAD’s internal teams, while also integrating with existing museum records and workflows.

Simplifying heritage submissions
Digitising MoAD’s submission process replaced paperwork with a clear, accessible online pathway. Suppliers can now submit proposals and access reference documents remotely, reducing delays and administrative overhead. This shift saves time and enables MoAD staff to track and retrieve applications with greater ease and accuracy.
Evidence-driven design choices
We worked closely with MoAD stakeholders to map each step of the submission process, ensuring the digital solution reflected real-world needs. This approach anchored the project in practical outcomes—connecting the right people, information, and approvals at every stage.
Interactive floor plan integration
By connecting the portal to the museum’s collection management system (EMu), we introduced a clickable building map. Suppliers and staff can now select specific areas for works, search previous submissions, and access supporting materials - uplifting decision-making and ensuring compliance with heritage protocols.
Flexible, transparent workflow
The custom-built four-step module allows submissions to move smoothly between states, including reverting to ‘under review’ if required. This transparency supports collaboration, accountability, and informed decision-making for both MoAD staff and external suppliers.
Digital process optimisation
Remote access to the portal means suppliers can engage from anywhere, supporting a more inclusive and efficient process. The digital system streamlines heritage management, freeing up capacity for staff to focus on meaningful outcomes and ongoing stewardship of a nationally significant site.
